Refund & Cancellation Policy

Website Maintenance Services · Effective 1 April 2025

No refunds on maintenance fees. All payments cover ongoing intangible services — website care, updates, security monitoring, and on-demand support. Once a billing period begins, the payment is non-refundable.

Thank you for retaining me for professional website maintenance. Because my service is intangible — continuous updates, backups, monitoring, and technical support — it cannot be "returned" in the way a physical product can.

Payment & Service Term

  • Maintenance fees are charged monthly in advance, covering work already performed or scheduled.
  • You are paying for my time, expertise, and availability — intangible benefits that cannot be returned.
  • Invoices are issued before each renewal period and are due upon receipt.

No Refunds on Completed Periods

Once a billing cycle has started, no refund is issued for that period. The maintenance work — including any of the items below — has already been allocated and/or performed.

  • Automated backups & uptime monitoring
  • Security hardening, plugin & CMS updates
  • On-demand support & emergency fixes
  • Content tweaks and technical troubleshooting

Cancellation Process

You may cancel future recurring payments at any time by contacting me via email. Upon cancellation:

  • No further charges after the current paid period ends.
  • No partial refunds for remaining days — the service is intangible and already accessible for that period.

Intangible Nature Acknowledgement

All maintenance deliverables are digital and non-physical: code updates, configuration changes, advisory, and dedicated availability. By proceeding with payment, you acknowledge that refunds are not applicable once the service period commences.

Disputes & Service Issues If you believe an unauthorised charge occurred, please contact me immediately. For any service quality concern, I will work to make it right — however, paid maintenance time cannot be refunded.

I respect your privacy and am committed to protecting any personal information you share when engaging me for website maintenance. This policy explains what data I collect and how it is used.

What I Collect

  • Name, email, and phone number — to communicate about maintenance tasks and billing.
  • Billing details processed via secure third-party gateways — I never store card numbers.
  • Website access credentials (if granted) — stored encrypted and used exclusively for agreed maintenance work.
  • Basic usage data about your website (analytics, error logs) — only for diagnostic purposes.

How I Use Information

  • To perform website maintenance, updates, and troubleshooting.
  • To send service updates, invoices, or important policy changes.

Sharing

I do not sell or rent your personal information. Limited data may be shared with trusted partners who assist in operating my business (e.g. payment processors, cloud backup providers). All partners are bound by confidentiality agreements.

Security

I use industry-standard practices — encrypted storage and limited access controls — to protect your data. However, no online transmission is 100% secure; you share information at your own risk.

Cookies

My website may use minimal cookies to improve user experience. You can adjust your browser settings to refuse cookies at any time.

Terms & Conditions

Website Maintenance Services · Version 2.0 · 2025

By engaging Mathila Dulsanda's maintenance services and making payment, you agree to the following terms. These form a binding contract for ongoing, intangible website care.

Scope of Service

I provide technical maintenance, updates, security patches, and general website care as agreed in your maintenance plan. All services are intangible and delivered electronically. The exact deliverables are defined in the service plan or proposal accepted at the time of engagement.

Fees & Payment

  • Fees are as quoted and payable in advance via PayHere.
  • All payments are non-refundable. By paying, you waive any right to chargebacks once the service period has started.
  • If you cancel mid-period, no pro-rata refund is issued — you continue receiving support until the paid period ends.
  • Overdue invoices may result in suspension of maintenance services until settled.

Cancellation

You may cancel future payments with 7 days' notice before the next renewal. To cancel, email hello@mathila.space. I will confirm the cancellation and ensure no further charges are made.

Client Responsibilities

  • Provide necessary access (hosting, admin logins) in a secure and timely manner.
  • Provide timely feedback or approvals required for updates.
  • Maintain your own independent backups if absolute data retention is required. I maintain routine backups but cannot guarantee complete data recovery in all scenarios.

Limitation of Liability

I am not liable for indirect, incidental, or consequential damages arising from service interruption, data loss, or website downtime. My total liability is limited to the fee paid in the most recent billing period.

Governing Law

These terms are governed by the laws of Sri Lanka. Any disputes shall be resolved through amicable negotiation before pursuing any legal remedy.

Acknowledgement of Intangible Services By paying the maintenance invoice, you confirm that you understand you are purchasing ongoing digital work that cannot be returned, and therefore refunds are not available after payment commences.
